Job Specification: Project Manager and Senior Project Manager


Objectives:

• To be responsible for all aspects of the delivery of a project to the contracted technical, financial, quality and timescale specifications.

• To ensure high levels of customer satisfaction during the project life cycle as defined in the Project Initiation Document.

• To ensure all internal financial targets of cost and revenue forecasts are met and reported upon as required by their manager.

• To lead and motivate the project team and ensure all roles fulfil their respective responsibilities.

• To ensure that a project stays in a “green” status on the RAG status report.


Tasks & Responsibilities:

1. The Project Manager has the authority to run the project on behalf of Vanco within the constraints laid down by the sponsor and the contract or as instructed by his/her manager.

2. Ensure project governance is agreed, documented and signed off in the Project Initiation Document and implemented in accordance with this agreement. This is to include the appropriate risk management strategy.

3. Ensure that the project is progressed through the Vanco Seven Stage Gate methodology and is formally signed off at each stage by the appropriate signatories.

4. Produce all of the relevant documentation as instructed via the Vanco Project Delivery Process.

5. Ensure that Oracle and Remedy are populated with the correct network and customer information, this includes but is not limited to: -

a. Validating the Oracle upload spreadsheets or change requests before they are submitted to Finance section for upload
b. Checking the data has been uploaded into Oracle and transferred into Inventory correctly
c. Ensuring that non Oracle sourced data is added into Inventory, both data that should be embodied at the start of the project and the additional information that should be added by Provisioning Section and Implementation Engineers as the project progresses.
d. At project closure carry out an audit on the standard of information contained in Oracle and Inventory and rectify any deficiencies identified.

6. Provide pre-contract support to the Vanco sales team during the bid process as requested by his/her line manager. This may include, but is not limited to, producing project plans, financial cost models, RAID logs and representing the PM team in meetings.

7. Develop strong customer relationships at the appropriate level to ensure that full customer support is forthcoming when the project encounters issues.

8. Ensure data is entered into management systems as required.

9. Maintain accurate cost and revenue project statements to allow the financial health of a project to be monitored.

10. Ensure billable cost overruns are invoiced to the customer and any additional billing opportunities are identified to the commercial teams.

11. Distribute knowledge in a positive fashion to the rest of the Vanco Project Management team to ensure that each member of the team gains from experiences on the project a Project Manager is running.

12. Comply with the published group technical processes.

13. Involvement in other ad hoc project matters as required.



Skills and Experience:

• Strong communication skills, able to interact effectively internally, with suppliers and customers, at both the working and executive level.

• Confident and tenacious individual who understands the importance of ownership and management.

• Competent user of Microsoft suite, including MS Project.

• An awareness of the principles of WAN networks, together with the major types of circuits is desirable, although not initially essential.

• An awareness of the PRINCE methodology is desirable, although not essential.

• Ability to think on his/her feet and devise solutions to complicated logistical, commercial and management issues.

• Ability to motivate a project team and influence other project team members in a positive fashion.

• Proven ability to track and manage costs and revenues to a budget
